Field Field Content/Data Resource Type and Data Specifics
Resource Type (M*) The type of literature of the resource. Resource types are Book, Conference, Journal Article, Patent, Patent Application, Software Manual, Technical Report, Thesis/Dissertation, and Miscellaneous, which could include brochures, bibliographies, etc.
Specific Type Qualifies 'Resource Type.' Any 'Resource Type' may have a qualifier. Provides additional information about the 'Resource Type'. For Journal Articles, may include whether the literature is a preprint, a postprint and/or whether it was presented at a Conference. For Miscellaneous, may include 'Fact Sheet,' 'Booklet,' 'Bibliography,' etc. May contain any other qualifier. Extent or scope of the content of the resource (Final, Annual, Semiannual, Topical) is contained in the 'Coverage' field. If no data is available, the default is blank/empty.
Title (M*) The name by which the resource is formally known. Title of the resource. May include edition, version, or release. May include subtitle and/or secondary title. (Series title is contained in 'Resource Relation.') For Conference proceedings, contains title of the proceedings; for Conference papers, contains title of the paper.
Creator/Author (M*) Person(s), author(s), organization(s), or entity(ies) responsible for creating the intellectual content of the resource. May include editor(s) and/or compiler(s). Recommended format is: lastname, firstname or initial, middlename or initial. Examples: Doe, John Quincy; Doe, John Q.; Doe, J. Q. Other formats are acceptable. Separate entries with a semicolon and a space. May include author affiliation, such as university or company. If no creator/author is provided, a default can be set to 'Not Available.'
Publication Date (M*) Date of publication or date of issuance of the resource. Preferred format is YYYY-MM-DD. Other formats are acceptable, including year only or year and month only. Decisions about handling quarterly (Spring, Jan.-Mar., etc.) and bimonthly (Jan.-Feb., Feb.-Mar., etc.) publication dates are pending. If the citation is for a journal article preprint or postprint, the publication date could be the date the preprint/postprint was issued or the date the preprint/postprint was made available. Extent or scope of the content of the resource (Final, Annual, Semiannual, Topical) is contained in the 'Coverage' field.
Research Organization (M*) Originating research organization information. Name and location of the organization(s) that directs/performs the research and/or research facility(ies) where the research was conducted/performed. If the resource citation is provided by an organization within the United States, Research Organization includes at least one United States organization. Multiple organizations and free form text are acceptable. Separate entries with a semicolon and a space. Include country if available. Examples: Oak Ridge National Laboratory (ORNL), Oak Ridge, TN (US); Pantex Plant (PTX), Amarillo, TX (US); Advanced Photon Source (APS), Argonne, IL(US) [Note: Maximum field length is 1000 characters.] If desired, an appropriate default can be set.
Sponsoring Organization Funding organization(s) for the research and/or the facility(ies) used for the research. If the research reflected in the resource was conducted at a DOE sponsored and/or funded facility, U.S. DOE is a sponsoring organization. For U.S. DOE contractor records, could include a Sponsoring DOE Program Organization. May include private-sector funding organization, if appropriate. Multiple organizations are acceptable, separated with a semicolon and a space. The default is USDOE unless provided. Creator/author affiliation, such as university or company, is contained in the 'Creator/Author' field.
Report Numbers Primary and/or secondary report number(s) or patent and/or patent application number(s). For Technical Reports, data will be expected in this field. If 'Resource Type' is not a Technical Report and/or if no data is available, the default is blank/empty.
DOE Contract No. Any U.S. Department of Energy (DOE) contract or grant number under which funding was provided for the work described. Includes standard and non-standard DOE contract numbers. DOE contract number contained in the site bibliographic citation. If the site bibliographic citation does not contain a DOE contract number and all citations to be harvested from a single site database fall under the same DOE contract number, an appropriate site-provided DOE contract number can be set as a default. If no DOE contract number exists for a bibliographic citation, the default is blank/empty.
Other Numbers Any other identifying numbers. May include ISSN, ISBN, CODEN, DOI (Digital Object Identifier), Patent Priority Number, R&D Project number, non-DOE contract number, and/or any other identifying number(s). If no data is available, the default is blank/empty.
Resource Relation (M* if the resource is a journal, conference, or patent) Reference to a related resource and/or related information such as journal information (title, volume, issue); conference information (title, place, dates); patent file and patent priority date(s); and/or other related clarifying information, if applicable. For a Journal Article, journal name/title (full and/or abbreviated), volume, issue; for Conference, include name/title, location, and/or dates; for Patent(s)/Patent Application(s), may include Patent Date Filed and/or Patent Priority Date; for a Book, may include series title; for Thesis/Dissertation(s), may include whether the resource is a thesis or a dissertation, the related academic degree, and/or, if not published, institution information. (If Thesis/Dissertation was published, institution information is contained in the 'Publisher' field.) May include other related information that clarifies or adds information to the citation. Identifiers (for example, ISSN) related to journal and other literature are contained in the 'Other Numbers' field. If no data is available, the default is blank/empty.
Subject DOE subject category code(s) and related text and/or descriptor(s). Broad DOE subject categories ( http://www.osti.gov/stip/subcat00.htm ). Controlled (standardized) vocabulary used to describe the information content of the resource. Use of at least one DOE subject category is encouraged. If no data is available, the default is blank/empty.
Related Subjects Other subject topics. Keywords. Uncontrolled vocabulary used to describe the information content of the resource. May include area of research, such as neutron science. If no data is available, the default is blank/empty.
Description/Abstract A brief textual summary or account of the content of the resource. May include, but is not limited to: an abstract, table of contents, reference to a graphical representation of content, and/or a free-text account of the content. If no data is available, a default can be set to 'Abstract Not Provided.' Note: Inclusion of a Description/Abstract is encouraged as it may benefit search and retrieval.
Coverage Used to describe the extent or scope of the content of the resource: Final, Annual, Semiannual, Topical. Used primarily for Technical Reports, if appropriate. Not applicable for Conference, Journal Article, Patent, Patent Application, Software Manual, nor Thesis/Dissertation. May be used for Book or Miscellaneous. If no data is available, the default is blank/empty.
Publisher The person, organization, or entity responsible for making the resource available and/or for providing access to the resource. May contain publisher information, such as journal publisher or book publisher. For Thesis/Dissertation, may include institution information if the Thesis/Dissertation was published. (If the Thesis/Dissertation was not published, institution information may be included in 'Resource Relation.') Should include publisher name, address, location, and country, especially if the resource is available from the publisher. If no data is available, the default is blank/empty.
Availability Primary or alternate availability information. May contain source from which the resource may be obtained, including the originating source. For Books, information in the 'Publisher' field may be considered to provide availability information. For Journal Articles, journal information in the 'Resource Relation' field is considered to provide availability information. For Thesis/Dissertation, information in the 'Publisher' or 'Resource Relation' field may be considered to provide availability information. For other 'Resource Types' when electronic full text is not available, includes sufficient information for the user to locate the resource. When electronic full text exists, availability is via a link from the bibliographic citation and this field may default to blank/empty. If no data is available, the default is blank/empty.
Site URL (M* if electronic full text is available) Unique URL specific to the electronic full-text location where posted at the site. If full text is posted at the site, include the unique URL specific to the electronic full-text location. Not applicable for bibliographic citations without full text. The default is blank/empty.
Format (M* for number of pages) The medium or dimensions of the resource. Includes pages, playing time, or page range. Includes the format of the full-text image if electronic full text exists. PDFN (Portable Document Format Normal) is the preferred electronic format. May also contain any additional information about the format. Examples include Speed, Operating System, Machine Compatibility, Bits per Inch, Sound, Speed, Programming Language, Quantity, etc. If no data is available, the default is blank/empty.
Country Country of input. Originating country. If the resource emanates from research conducted at a U.S. laboratory or facility and/or the citation is provided by an organization within the United States, the country of publication is the United States. If not provided, for U.S. input, the default is United States. The country of the publisher is contained in the 'Publisher' field.
Language Language of publication. If not available, for U.S. input, the default is English.
Source Acronym for the source of bibliographic information and/or the site input code. Provider of the bibliographic citation, e.g. ORNL, ANL, LANL, etc. For each site/database harvested, an appropriate default can be set.
Rights Copyright and/or patent assignee information. If the bibliographic citation links to full text, contains information related to the full text. For example, 'Copyrighted.' Citations for Journal Articles with no links to full text are not restricted by copyright. For Patent(s) and/or Patent Application(s), include patent assignee information. If no data is available, the default is blank/empty.
OSTI Identifier OSTI identifying number. OSTI/system assigns.
System Entry Date Date that the resource becomes available. OSTI/system assigns. Format is YYYY-MM-DD.

*M - Mandatory. Where data is not available for a Mandatory field, 'None' or 'Not Available' are acceptable alternatives with the exception of the 'Publication Date' field. Sites are encouraged to provide as much data as possible.

Note: Some of the fields identified above have multiple pieces of information combined into one data field. If the participating site currently manages this information in separate fields, separate fields can be made available to OSTI and, in fact, are preferred.
