STIP Managers Teleconference

Scheduling of STI records (Sharon Jordan): OSTI is working on scheduling STI records with NARA, and they have met with the NARA representative on several occasions.  The NARA representative has also made visits to some DOE sites.  While OSTI is working with NARA on its (OSTI’s) records schedule, the STI records in the hands of the DOE contractors will also be affected.  The results of these discussions will be put into the STI Guide when it is resolved.

 

LOWG (Sharon Jordan): The DOE Library Operations Working Group (LOWG) is meeting at ORNL in October.  If you are in town and free Thursday and/or Thursday night, OSTI will be available to meet with you.  Perhaps a dinner for Thursday could be arranged. Let OSTI know if you are interested.

 

DOIs (Sharon Jordan): The IT staff at OSTI are working to get DOE digital object indicators (DOIs) into the CrossRef system.  However, CrossRef is not yet ready to do this.  It looks to be late October this year before CrossRef can handle DOE DOIs.

 

Location of STI at Sites (Sharon Jordan): For all new documents, OSTI is downloading documents hosted by the sites when URLs are provided for the documents.  This process only pertains to new documents; getting past documents is something to be decided in the future. This service is the result of NARA’s desire to have one place to go for DOE’s STI (see item1 above).  However, documents hosted by the sites that are announced on the Information Bridge, ECD, and SRC will still link to the URLs provided by the sites.

 

“Stuck” documents (Sharon Jordan): The new system will compile site lists of “stuck” documents and identify them by site; the list will be sent to the site’s primary point of contact, or you can use the report-generating feature of the system to see your list.  When you use harvesting, you’ll get a “didn’t work” prompt at the time of harvesting.

 

E-Link old records (Sharon Jordan): If you have any problems with old records that were put into E-link earlier (editing them, etc.), contact OSTI.

 

E-link discussion (Kathy Waldrop, Patty Simmons, Jannean Elliott, Sharon Jordan):

 

  • There can be more than one releasing official per site. 
  • Updates are made daily at about 8:00 pm EST to allow West Coast site to keep working during their normal business hours.
  • The “Proxy Error” message is a bug that hasn’t yet been fixed.  If you get this or another error, please provide a screen capture of the error and e-mail that along with the time of day when the error occurred and send these to OSTI.
  • Items over 5000 kilobytes time out after six minutes in the experience of one site.
  • There have been a few bugs; they are fixed as they are reported or otherwise identified, such as, sorting by field is now working, and user names have to be unique.
  • The automated harvesting runs have not been done because OSTI wants to first make sure that the system is working properly.
  • Harvesting tests run have been encouraging, and harvesting will resume soon.  This week’s runs are manual to allow OSTI to look at them first.  Next week we may see the resumption of harvesting.

 

Miscellaneous (All):

 

  • There is nothing new on the spring STIP meeting.  It will be in Chicago in late April.

 

  • Mina Perrin at the Savannah River Operations Office is retiring after forty years.

 

  • SLAC has a job for a publications manager posted on its Web site.  Interested parties should check it out.

 

  • There is a draft version of DOE’s Applied Technology handling instructions in the works.  The 2000 version is the most current version.

 

  • OSTI will accept presentations as STI; whether Power Points are considered to be STI is normally left up to the submitting sites.

 

  • The next STIP Managers teleconference will be held November 9.
