Status of DOE O 241.1A (Sharon Jordan) – The revised Order was scheduled to be completed by October 2007, but a relevant White Paper at Headquarters and some other records-related issues surfaced.  These issues bought us an extension until early in the calendar year in 2008.  Sharon will pen the first draft over the holidays.  Comments should be provided to Sharon ASAP.  If the comments get to Sharon before the Christmas break, they can get incorporated into the first draft.  The Guide will change also, but not on the same schedule as the Order, which needs to be done first.  The Guide may be split into two or three Guides (e.g., the software section could become its own guide).  Comments regarding the current marked up version of the Guide (http://www.osti.gov/stip/GidRev05a1%20(2).htm) should be sent to Kathy Waldrop.

 

Patent Hold (Patty Simmons ) – There are many records in the OSTI system that have the Patent Hold access limitation.  Many of these have been in this state for over 5 years and need to be changed to another access limitation.  A memo was sent to the STIP Managers and describes the "legal" time period for retaining the Patent Hold status for a document.  Each site should go into E-Link and look at the Reports section to view the Patent Hold documents that are older than five years.  Sites should change the access limitation especially for those that need to remain protected for a particular reason.  In the not to distant future OSTI will change the access limitation on the documents remaining in Patent Hold status  to unclassified unlimited and make them publicly available if the originating site hasn’t revised them already. 

 

Potential Protected PII (Kathy Waldrop) - There has been a flurry of activity at OSTI related to identifying potential protected PII in STI submitted to OSTI.  OSTI designed an algorithm to check for such information only in the documents hosted by OSTI.  Because the algorithm is looking for numbers there are quite a few false positives in the results.  A number of documents were identified for review by the releasing sites and were temporarily removed from OSTI’s public products until the reviews have been completed.  The documents can be reviewed and resolved via E-Link.

 

2008 STIP Working Meeting (Kathy Waldrop) – LANL will be the host of the 2008 STIP Working Meeting which will be held at the Hotel Santa Fe (http://www.hotelsantafe.com/).  We have reserved a block of rooms at the hotel covering the dates Saturday, April 19 through Saturday, April 26.  Fewer rooms are blocked for Friday and Saturday nights at a rate of $139.00 plus tax. The rate for all other nights will be determined by the prevailing government rate. Individuals must make their hotel reservations by Tuesday, March 18 to receive the negotiated rate.
