2007 STIP Meeting (Kathy Waldrop):  OSTI is focusing on details related to the upcoming 2007 STIP Working Meeting in Las Vegas and wanted to share some new and not some not so new information with the STIP Managers. The meeting will be held at the Imperial Palace Hotel (www.ImperialPalace.com) the week of April 23, 2007.  The drop-dead date for making room reservations is Tuesday, March 20, to guarantee availability and the government rate of $112.00 (single or double occupancy) plus 9% tax per night. The reservation line is 1-800-800-2981; be sure to reference the 2007 STIP Meeting.

 

Because of the Continuing Resolution (CR), sites were polled as to their plans to attend the 2007 STIP Meeting and the response was favorable, therefore OSTI will proceed with plans for the meeting. Additional information regarding other details of the meeting will be made available on the STIP Homepage.

 

Harvesting Update (Jannean Elliott):  Harvesting has been a successful submission option in the DOE community, but it has not been tried by the international members of ETDE...until now. Four countries have been harvesting on a test basis with OSTI this fall: Norway, Sweden, Denmark, and Finland. Though the business rules are slightly different, the process is the same except for full text documents. These are sent to an intake address on OSTI’s server and “siphoned;” they are matched with the correct metadata record before they complete the E-Link processing.  Many of the records, however, are citations to journal articles, and those records usually contain a Digital Object Identifier (DOI) or a URL to the journal’s website. Currently, the server in Denmark which hosts the combined Nordic file is undergoing a major upgrade. We anticipate that the Nordic harvesting will be ready for production sometime in February.

 

New DOE F 241.4 Webform (Kim Buckner) – Although Kim has received names of software contacts from some of the sites, many still haven’t provided her with that information. Please follow-up with Kim bucknerk@osti.gov) regarding this information. Also, there is a new DOE F 241.4 webform for software (www.osti.gov/estsc); in the near future, submitter information will directly populate the database, speeding up the processing eliminating the need to re-key the information.

 

Miscellaneous

 

(Judy Gilmore) - OSTI was recently notified by DOE Headquarters that the Directive DOE O 241.1A, Scientific and Technical Information Management, has come up for certification or revision.  This is a routine process based on the date of last revision.  There was an administrative update in 2003, but the last formal revision occurred in 2001.  OSTI has responded to HQ that the Directive will be revised later in the year, with revisions to include: an update of definitions, inclusion of recent NARA recommendations, and a citation of the Energy Policy Act of 2005.

 

(Judy Gilmore) - There has been progress in discussions with NARA, and in reviewing the clear relationships between the R&D Records Schedule and the STI Schedule.  A MOU has been drafted to reflect the intentions of OSTI and NARA to work together in ensuring collaboration as relates to STI management.

 

(Sharon Jordan) – There will be an ICSTI Meeting in London January 18-21. This group has been discussing an International Science Portal over the past 6-9 months. It has been suggested to use Science.gov as a model for an international version. Stay tuned for a news release related to this activity.

 

(Sharon Jordan) – There will be an AAAS Meeting President’s Day weekend.  OSTI will be participating in an exhibit showcasing Science.gov version 4.0.

 

(Sharon Jordan) – Sharon asked individuals participating on the call to make suggestions for a 2007 STIP Meeting plenary speaker from the Las Vegas area or someone who would be willing to finance their own travel expenses to and from Las Vegas.
