Summary: Student Services Centre Confidentiality Statement
The University of Southampton is a data controller in respect of the Data Protection Act
(1998) and the Student Services Centre follows the University policy in matters of data
protection. Information entrusted to Student Services Centre staff will be treated as
confidential, and will not be used for purposes other than those for which it was gathered,
without the express consent of the client.
The Student Services Centre consists of Customer Service, Client Service and Specialist
Service staff providing advice in a range of areas. We also work closely with the Fees Office,
Graduation Team and Accommodation Service. Advisers may, in the course of their work
with individual students, consult with other professional staff both within Student Services
and other University services, in order to ensure the most appropriate service. In such
circumstances, we will always maintain your confidentiality within the service unless we
have your express permission to discuss your situation with a third party. Confidentiality is
not restricted to the individual adviser, but is maintained within the department to ensure
consistency in dealing with complex advice.
Client records shall be legible, identifiable, and stored and maintained in such a way that
they are readily retrievable and protected against damage, deterioration or loss. Manual
records will be kept in a secure environment. Electronic records will be password protected.
In the course of its day to day activities Student Services Centre uses a customer records
system to record interactions and information related to individual students. Information on
